Copilot tuning: an AI assistant that knows your work
An AI assistant such as Microsoft 365 Copilot is only as helpful as its setup. We make sure it finds the right documents, shows only what each person is allowed to see, and supports your daily tasks: drafting texts, summarising meetings, answering questions about documents. We also show your team how to use it sensibly.
Overview
Copilot tuning
We set up Microsoft 365 Copilot or a similar assistant so that it genuinely helps with your documents and workflows.
Who it is for
- Companies that use Microsoft 365 and want to introduce Copilot, or already have it
- Teams that deal with many documents, emails and meetings
- Businesses that want an assistant without building the technology themselves
What is included
A review of your day-to-day work: which tasks should become easier
A check of the permissions so that Copilot only shows content the person is allowed to see
Order in the documents the assistant should draw on, for example in SharePoint
Prompt templates for your typical tasks
On request, assistants of their own for individual workflows, for example for questions about your handbook
Training for your team in plain language and a handover of the materials
Written fixed-price offer before we start, payment only after approval
Order first, then the assistant
Copilot draws on what your staff can already see in Microsoft 365. If documents are scattered or sharing settings are too generous, the assistant also finds what it should not show. That is why we check the permissions first and tidy the most important locations before we set up the assistant.
Honest about the benefit
An assistant takes drafts and summaries off your hands, but it does not replace checking. Results have to be read and approved, because an AI can be wrong. We tell you beforehand where it helps most in your daily work and where less so, and we advise against it if it does not pay off for your business.
How it works
First we record which everyday tasks should become easier for your team. Then we check the permissions in Microsoft 365 and tidy up the most important storage areas in SharePoint, so that the assistant shows only what each person may see. After that we write templates for instructions (prompts) for your typical tasks and train your team in plain language. Four weeks after the training a follow-up check takes place: what is used, what is still missing? From the inventory to the training we usually allow ten to fifteen working days, depending on the size of your storage. That is a guide value, not a promise. The licence from Microsoft is not part of our work.
How you measure success
Count before and after. Write down the starting values before the training begins, otherwise the comparison is missing later. The usage reports for administrators in Microsoft 365 show how many people actively use the assistant. Measure on a small sample how long a typical task takes before and after, for example a meeting summary. During the permissions check we record how many sharing settings that were too wide we found and corrected. Also check in a sample for what share of the answers the named source is correct. Compare these values over several weeks. How much time your team actually saves depends on tasks and habits. We do not promise a particular result.

Frequently asked questions
Do I need a licence from Microsoft?
Yes. Microsoft 365 Copilot is a paid product from Microsoft that you book there or through your licence partner. We tell you beforehand which licences your team needs and list the running costs in the offer.
Does Copilot see confidential documents?
It only shows what the person could open in Microsoft 365 anyway. Whether your sharing settings are clean enough for that is the first thing we check. The legal assessment for your business is for your legal adviser.
Do our files have to move to a new system first?
As a rule, no. Copilot works with what already sits in your Microsoft 365, for example in SharePoint, OneDrive, Outlook and Teams. We sort things there and adjust sharing settings instead of moving files into a new system. If documents so far sit on another drive, we can bring them into Microsoft 365 with you, selectively, if the assistant is meant to use them.
What happens after the training?
After the training your team uses the templates in everyday work. About four weeks later we look together: which instructions are used, which questions are open, where does a template need adjusting? That is a fixed part of the process. For this we use the usage reports that Microsoft provides for administrators.
What does Copilot tuning cost?
That depends on the size of your team and the scope. You receive a written fixed-price offer before we start, payment only after approval. Microsoft’s licence costs come on top and are listed in the offer.
